Getting Started with Sandata EVV

Welcome to Sandata Electronic Visit Verification (EVV), a powerful system designed to help healthcare providers and agencies manage recipient and direct care worker or employee data, as well as track and manage visits. Whether you're a Caregiver, Administrator, or a Staff Member involved in home and community-based healthcare services, this guide will help you get started with the basics of using Sandata EVV.

  1. Each agency is administered a set of login credentials that are connected to an OH | ID. For assistance locating or updated your OH | ID, please contact the Ohio Department of Medicaid. For assistance updating a password, click here: OH | ID Password Help

  2. Enter your OH | ID and your password, then select Log In.

In EVV, a person who receives services through the Medicaid program, known in Ohio as a Medicaid Member, is a Recipient. Once you're logged in, you can access and manage Recipient records.

  1. Use the side menu bar to go to Recipients > Recipient Management module.

  2. Your Recipients will load, or you can use the quick search field to search for a specific Recipient.

  3. Select the individual line in the list of Recipients to access their detailed information, including personal and program details and schedules.

If you're an administrator, you can manage Direct Care Worker and Employee data in EVV.

  1. Use the side menu bar to go to the DCW/Employee Management module.

  2. The DCW/Employee list will load. Use the filters to find a specific DCW/Employee by name or ID.

  3. Select a DCW/Employee's name to access their profile, which contains contact information, schedules, and more.

The easy-to-use Scheduling module features allow you to manage recipient visits efficiently.

  1. From the Scheduling module, you can schedule visits one at a time. You can also create recurring schedules for a recipient.

  2. Adding the DCW/Employee to the schedule is easy, and when you need to reschedule or swap out a DCW/employee, it's just a few clicks.

Sandata EVV allows you to track and manage recipient visits efficiently, making sure that services are delivered as planned.

  1. Go to the Visit Maintenance module to view visit-related information. With real time data, you will see when Direct Care Workers clock in and out for visits using the Sandata Mobile ConnectApp.

  2. With the quick filters, you can select a visit to see its details, including the recipient, assigned Direct Care Worker, and visit date and times, along with options to see services and tasks performed.

  3. Editing Visits: If you need to make changes to a visit, such as adding a missed out-call or task, select that visit. Learn more about handing exceptions in the Visit Maintenance section.

By familiarizing yourself with Sandata EVV's features, you'll be well on your way to efficiently managing recipient and employee data and effectively tracking and managing recipient visits within the system. This will help ensure that home and community-based healthcare services are delivered accurately and in compliance with regulations.
